About Kythro

What is Kythro?

Kythro is a cloud based practice management system for dental clinics, with eight specialty modules out of the box: orthodontics, restorative, endodontics, periodontics, hygiene, pediatric dentistry, prosthodontics, and oral surgery. It runs patients, appointments, leads, per-tooth procedure records, treatment plans, dental charting, payments, inventory, and WhatsApp messaging from a single workspace, and supports multiple clinic locations under one account.

Who is Kythro built for?

Kythro is built for general dental practices, specialty clinics (orthodontics, endodontics, and others), and groups running more than one location. It is in active production use at Smile Align Orthodontic Speciality Clinic in Kozhikode, Kerala, which delivers ortho alongside restorative and hygiene work.

Where is patient data stored?

Patient data is stored in Google Cloud Firestore in the asia-south1 region (Mumbai). Files like photos and radiographs are stored in Google Cloud Storage in the same region. Access is governed by Firestore security rules that enforce per clinic isolation, so one clinic can never read another clinic's data.

Does Kythro support WhatsApp messaging?

Yes. Kythro sends appointment reminders, follow ups, and lead replies via the official WhatsApp Cloud API. Message status (sent, delivered, read, failed) is shown on every lead and appointment row.

Can multiple clinics use the same workspace?

Yes. A single Kythro account can host multiple clinic locations. Team members can be granted access to one or many clinics, and an in-app clinic switcher lets staff move between locations without signing out.

Do you offer a free trial?

Yes. Every plan starts with a 30 day free trial. No credit card is required to start. Pricing is per clinic per month and is billed monthly in USD.

How do I migrate from my current system?

Email hello@kythro.com with a sample export from your current system (CSV or Excel) and we will help you import patients, appointments, and treatment history. Migration support is included on the Scale plan.

Features

How does Kythro store patient records?

Each patient is a single document in Google Cloud Firestore, scoped to a clinic. Photos and radiographs are stored in Google Cloud Storage and linked from the patient record. All data is region-locked to asia-south1 (Mumbai).

Does Kythro send appointment reminders?

Yes. Kythro sends WhatsApp confirmations on booking and a reminder 24 hours before the appointment, using the official WhatsApp Cloud API. Templates are configurable per clinic.

How does Kythro track lead conversion?

When a lead is converted to a patient, Kythro preserves the original source, capture date, and follow-up history. The dashboard reports conversion rate by source so you can see which channels actually pay back.

Can a treatment plan have stages, like ortho cases?

Yes. Each line item carries its own status (planned, in progress, done) so a multi-stage ortho plan tracks correctly across months and visits without manual reconciliation.

Does Kythro support FDI notation?

Yes. Kythro's dental chart uses the FDI two digit notation by default and supports both permanent and deciduous dentition.

Is the ortho assessment specific to specialty clinics?

Yes. The form is designed for orthodontic specialty clinics and captures the full data set a specialist would record at consultation. General dental clinics can also use the basic dental chart without it.

What is a treatment plan phase?

A named, optionally time-bound stage of a multi-visit case. For example, an ortho case might run Phase 1 (records and bonding, 1 month), Phase 2 (active alignment, 12 months), and Phase 3 (retention, 6 months). Each line item on the plan can be tagged to a phase, and progress is tracked from the items' individual status.

What is a clinical note addendum?

An addendum is a timestamped, author-stamped entry appended to a finalized clinical note. The original note stays read-only; the addendum captures any clarification, correction, or follow-up observation made later. Together they form a defensible audit trail.

What are clinical note templates?

Reusable snippets that fill the clinical-notes block in an appointment with one tap. Each template can pre-populate any field its specialty cares about (wires, elastics, IPR for ortho; instructions and notes for any specialty). Templates are scoped to a specialty and an appointment subtype so the chips you see at the chair are always relevant.

What is the patient recall queue?

A worklist of active patients who do not have a future appointment booked. Kythro sorts them by the date of their last visit so the patients with the longest gap show first. This is the morning list the front desk works through when they have time to chase recalls.

Is Kythro only for orthodontists?

No. Kythro supports orthodontics as one of eight specialty modules. General practice, endodontics, periodontics, hygiene, pediatric dentistry, prosthodontics, and oral surgery are all first-class. A clinic enables the modules it delivers; the booking form, inventory, catalog, and templates adapt to match.

When do I use a procedure record vs a treatment plan?

Treatment plans model staged or phased work that runs across multiple visits, like orthodontic cases and full-mouth rehab. Procedure records capture discrete completed procedures on a tooth. Most general dental visits are procedure records (one MOD composite, one scaling). Ortho clinics use both: a plan for the case, and optional procedure records for ad-hoc non-ortho work on the same patient.

Are receipts GST compliant?

Yes. Receipts include the clinic's GSTIN, name, and address as configured in clinic settings, and are printable as PDF or thermal receipt.

Does inventory deduct automatically?

Yes. When an appointment uses an attached kit, the kit's items are deducted from inventory at the right quantities. Manual adjustments are also possible with reason codes.

What is an appointment kit?

An appointment kit is a saved bundle of supply items used in a specific procedure (for example, bonding, debonding, or wire change). Attaching it to an appointment auto-deducts inventory at the right quantities.

Can I see which referrers send the most patients?

Yes. The dashboard shows new leads, converted patients, and revenue by referrer, filterable by time range. This makes it obvious which relationships are paying back.

Can different clinic locations have different pricing?

Yes. Each clinic has its own catalog, so a flagship location and a satellite location can run different pricing while sharing patient records and reporting.

How does role-based access work?

Each team member is granted a role per clinic. Roles control what they can see and edit (for example, front desk cannot edit a treatment plan). Permissions are enforced both in the UI and in Firestore security rules, so the rules apply even if someone bypasses the UI.

Where are photos and x-rays stored?

Files are stored in Google Cloud Storage in the asia-south1 region (Mumbai). Access is controlled by storage security rules so that only authenticated team members of the relevant clinic can read them.

Does Kythro use the official WhatsApp Cloud API?

Yes. Messages go through Meta's WhatsApp Cloud API using approved templates, so they are reliable, deliverable, and compliant. Personal numbers are not used.

Can a single team member work across multiple clinics?

Yes. A team member can be granted access to one or many clinics, with possibly different roles in each. The clinic switcher in the top nav lets them move between locations without signing out.

What metrics does the dashboard show?

Today's appointments with live status, a tomorrow huddle (count, first/last slot, and any patients arriving with an outstanding balance), new leads, active patients, monthly revenue, outstanding balance, conversion rate by lead source, recall queue count, and top referrers. All numbers update live as the team works.

How do I open the command palette?

Press Cmd+K on Mac or Ctrl+K on Windows from anywhere in Kythro. The palette searches across patients, leads, appointments, and pages.
